Start with Track Record

Can they provide references from buyers in markets similar to yours? An exporter who has been consistently delivering to demanding markets across the Middle East, Asia, and Europe for a decade is a very different proposition to someone who started exporting last year.

Ask specifically about their experience with your destination country. Import regulations, preferred varieties, packaging specifications, and logistical requirements vary significantly by market. A supplier with experience in your market is worth significantly more than a cheaper alternative who has never shipped there before.

Check Their Farmer Relationships

The best exporters have direct, long-term relationships with their farmers. This is important for several reasons. It gives them visibility on crop quality before harvest. It means they can give you reliable supply forecasts. And it means that when something goes wrong at farm level, they know about it first and can manage it proactively rather than reactively.

Be wary of exporters who claim to source from everywhere and anywhere. The most reliable suppliers have a focused network of trusted farmers they have worked with across multiple seasons.

Assess Their Cold Chain Capability

Cold chain failure is one of the most common causes of quality problems in fresh produce import. Ask any potential supplier to walk you through their cold chain process from farm to port. How is produce cooled post-harvest? How quickly does it move from packhouse to container? What temperature protocols are used for your specific produce type? Can they provide temperature data loggers with each shipment?

A supplier who cannot answer these questions clearly and confidently is a supplier whose cold chain you cannot trust.

Understand Their Compliance Knowledge

Every country has its own import requirements for fresh produce. Phytosanitary certificates, fumigation requirements, pesticide residue limits, packaging specifications, import permits. A reliable exporter knows your country's requirements inside out and handles all compliance on your behalf.

Ask them directly: what are the specific requirements for importing this product into my country? If they cannot answer with confidence, they are not the right partner.

Look for Industry Membership and Accreditation

Membership of recognised industry bodies is a good indicator of professionalism and standards.
